Not at all! We designed PETSAppeal with rescue staff and volunteers in mind—people who are passionate about animals, not technology. The interface is intuitive, and we provide video tutorials, live onboarding calls, and responsive email support. Most organizations are up and running within a day. If you can use Facebook or send an email, you can use PETSAppeal.

How long does it take to set up and start accepting applications?

You can be accepting adoption applications within 24 hours. The basic setup (creating your account, adding your organization details, and importing animals) typically takes 2-4 hours. Setting up Stripe Connect for donations adds another 15-30 minutes. We offer live onboarding calls where our team walks you through setup step-by-step, which many organizations find helpful.

Can we import our existing animal data, or do we have to enter everything manually?

You can bulk import your animals via spreadsheet! We accept CSV files with common fields like name, species, breed, age, description, and photos. We'll provide you with a template and help you map your existing data. For organizations with hundreds of animals, this saves days of manual entry. Historical data like past adoptions can also be imported for record-keeping.

What happens to our data if we decide to stop using PETSAppeal?

Your data is always yours. You can export all your animals, applications, donations, and records at any time in standard formats (CSV, PDF). There are no lock-in contracts—we earn your business every month by providing great software and support. If you decide to leave, you'll have complete access to your data.

Does the public portal mean anyone can see our animals, even if we're not ready?

You have complete control over visibility. Each animal has toggles for "Available for Adoption" and "Available for Foster" that determine whether they appear in the public portal. Animals in medical hold, behavioral assessment, or simply not ready can remain hidden while you still manage them internally. You decide what the public sees.

Can we customize the adoption application questions?

Yes! Using our Forms Module integration, you can create completely custom adoption and foster applications tailored to your organization's requirements. Add conditional logic (like showing dog-specific questions only if they're applying for a dog), required fields, file uploads for references, and more. The form submissions automatically flow into your application workflow.

How do donations work? Do you take a percentage?

We never take a cut of your donations—100% of donor funds go directly to you. The only fees are standard Stripe payment processing fees (2.9% + $0.30 for domestic credit cards), which are among the lowest in the industry. Each of your rescue locations gets its own Stripe Connect account, so funds are deposited directly into your bank account within 2-7 business days.

Can donors get tax receipts for their contributions?

Absolutely! Tax receipts are generated automatically and emailed to donors immediately upon successful donation. The receipts include your organization's EIN, the donation amount, date, and IRS-compliant language. Recurring donors receive receipts for each monthly or annual payment. You can also manually generate receipts for offline donations (checks, cash).

What if multiple people apply for the same animal?

Our system tracks all applications for each animal and alerts you to conflicts. You can review all competing applications side-by-side, compare reference checks and home visits, and make informed decisions. When you approve one application, the system can automatically notify other applicants that the animal has been adopted, maintaining transparency and good relationships.

Can foster families access the system to update us on their foster animals?

Yes! Foster families can be given limited access to update information about animals in their care—things like behavioral observations, medical updates, or photos. They see only their foster animals, not your entire database. This reduces phone calls and emails while keeping you informed in real-time. You maintain full control over what appears in the public portal.

We have multiple rescue locations. Can we manage them all in one account?

Absolutely! PETSAppeal is built for multi-location management. You get a centralized dashboard showing animals, applications, and donations across all locations. Each location can have its own Stripe Connect account for clean financial reporting. Staff can be assigned to specific locations with appropriate permissions. Animals can be transferred between locations with full tracking.

Does this integrate with Petfinder, Adopt-a-Pet, or other listing sites?

Direct marketplace integration is on our roadmap and coming soon. In the meantime, you can export animal data and photos for manual upload to other sites. Many organizations find that the PETSAppeal public portal generates so many qualified applications that additional listing sites become less necessary, but we understand the value of broad exposure.

What happens if we lose internet connection? Can we still work?

PETSAppeal is a cloud-based system that requires internet connectivity. However, we're building offline capabilities into our upcoming mobile app that will allow you to view animal information, take notes, and capture photos even without internet—everything syncs when you reconnect. For now, most modern smartphones can create a mobile hotspot as a backup if your primary connection fails.

Can we track volunteers and their hours?

Basic staff and user management is included, and volunteer tracking is a feature we're actively developing based on user feedback. Currently, you can create user accounts for volunteers with specific permissions (like "can view animals but can't approve applications"). Comprehensive volunteer scheduling and hour tracking will be released in Q1 2026.

How do reference checks work? Do we have to call references manually?

The system provides structured reference check forms where you document each conversation with an applicant's references. You still make the phone calls (reference checks are too important to automate), but PETSAppeal organizes the information, tracks which references have been contacted, stores notes, and flags any concerns. This creates a complete record for decision-making and future reference.

What about home visits? Can we schedule those in the system?

Yes! Home visits can be scheduled directly in the application workflow. You can assign a staff member or volunteer to conduct the visit, upload photos of the home environment, document findings (fencing, other pets, living conditions), and mark the visit as passed or failed. All of this information is attached to the application for easy review before making final decisions.

Do you offer training for our staff and volunteers?

We provide comprehensive training resources including video tutorials for every feature, written documentation, and live onboarding calls for new organizations. We also offer group training sessions if you have a large team. Most features are intuitive enough that staff pick them up quickly, but we're always available via email support if anyone gets stuck.

Can we generate reports for our board of directors or grant applications?

The system includes basic reporting on animals, applications, and donations. You can filter and export data in various formats. More advanced reporting and grant-specific templates are being developed based on feedback from rescue organizations. Currently, you can export all data to Excel/Google Sheets and create custom reports using pivot tables.

What if an adopted animal is returned? How do we handle that?

Returns are tracked in the animal's history. You can document the reason for return, update the animal's status back to "available," and add any new behavioral or medical information learned from the adoption. The original adoption record is preserved for statistical tracking (adoption success rates), and you can add notes about what type of home might be a better fit going forward.

Can we accept applications for animals we don't have yet, like breed-specific waiting lists?

Yes! You can create applications without linking them to a specific animal, which is perfect for breed-specific waiting lists or general interest forms. When an appropriate animal becomes available, you can review your pool of pre-qualified applicants and contact them. This speeds up the adoption process significantly for high-demand breeds or species.

How secure is our donor information? Can we accept PCI-compliant payments?

Absolutely. All payment processing goes through Stripe, which is PCI Level 1 certified—the highest level of security in the payment industry. We never store full credit card numbers on our servers. Donor information is encrypted in transit and at rest. Our platform undergoes regular security audits, and we follow industry best practices for data protection.

Can we send bulk emails to our donors or adopters?

Email marketing integration is coming soon. Currently, you can export contact lists and use them with your existing email provider (MailChimp, Constant Contact, etc.). We're building native email capabilities that will allow you to segment lists (active foster families, recurring donors, recent adopters) and send targeted communications directly from PETSAppeal.

What if we have a specialized rescue (like senior dogs only, or special needs cats)? Does the system work for us?

Absolutely! The system is flexible enough to support any type of rescue—breed-specific, species-specific, special needs, senior animals, exotics, farm animals, you name it. You can customize fields, create custom forms, and use tags to categorize animals in ways that make sense for your mission. The public portal filtering helps potential adopters find exactly the type of animal you specialize in.

Can we manage medical records and veterinary appointments in the system?

Basic medical information (vaccination status, spay/neuter status, known conditions) is included in animal profiles. For full veterinary practice management including detailed medical records, treatment plans, and appointment scheduling, you can add our AI Veterinary Practice Software module. Many rescue organizations with on-site clinics use both modules together for comprehensive animal health management.

What happens if we get a large influx of applications during kitten season? Can the system handle it?

Yes! The system is built on enterprise-grade infrastructure that scales automatically. Whether you receive 5 applications or 500 in a day, performance stays fast. The application queue includes filtering and sorting tools to help you prioritize—you can sort by submission date, application type, or animals with multiple applicants. During busy seasons, you'll appreciate having everything organized in one place.

Can we brand the public portal and donation pages with our logo and colors?

Currently, the public portal uses PETSAppeal's standard design with your organization name, logo, and photos prominently displayed. Custom branding options (custom colors, fonts, and CSS) are planned for a future release. The professional, mobile-optimized design works beautifully for all organizations and is already optimized for conversions and donations.

How do we handle animals that need behavioral assessment before being available for adoption?

Mark them as "Not available for adoption" and they won't appear in the public portal. You can still manage them internally, track their progress, document behavioral work, and make them available once they're ready. The housing module lets you track if they're in a specialized behavioral foster home or working with a trainer.

What kind of customer support do you offer? Are you available 24/7?

We offer email support during business hours (Monday-Friday, 9 AM - 6 PM EST) with typical response times under 4 hours. For urgent issues, we prioritize support tickets. We're working on expanding to live chat support. Our extensive video tutorial library and documentation are available 24/7, and most questions can be answered quickly through our searchable help center.

Can we run our own fundraising campaigns and track progress toward goals?

While donation tracking is built-in, full fundraising campaign management (with progress bars, campaign pages, and email marketing) is coming in a future release. Currently, you can create custom donation links for specific campaigns and track donations by purpose, allowing you to manually calculate campaign progress. Many organizations share their donation link on social media with campaign-specific messaging.

What if we're a foster-based rescue with no physical shelter location?

Perfect! PETSAppeal works great for foster-based networks. You can track which animals are with which foster families, manage foster family profiles and preferences, coordinate applications, and present a unified face to the public through the portal—even though animals are scattered across multiple foster homes. The location field can be set to your organization's administrative address.

How often do you add new features? Can we request features we need?

We release updates monthly with bug fixes, improvements, and new features. Major features are released quarterly. Our development roadmap is heavily influenced by user feedback—if multiple organizations request a feature, it gets prioritized. You can submit feature requests through our support system, and we often reach out to users for feedback during the development process.
